Add an Event

Events can be added through the following navigation: Calendar & Events > Add Event

Configuring Event Settings:

Event Type:

  • Categorize the event type. The list of event types is customizable via Vocabularies under Admin Tools & Settings.

Title:

  • Provide a title for your event.

Start & End Times:

  • Set the start and end dates and times. Most events occur on the same day but might end later. You can type directly into the field or use the pop-up date and time selector.

All Day Event:

  • If the event spans the entire day without specific start or end times, tick the All day checkbox. Only the date will be displayed on the event calendar.

Repeating Events:

  • To set up repeating events, click Set Repeat. This option is ideal for events like weekly rehearsals. Configure how often the event should repeat, and make adjustments as needed.

Event Notes:

  • Use the event notes section to add details about the event. These notes will be visible to all attendees and, if marked public, to non-logged-in users as well.

Online Link:

  • Paste the URL for a Zoom, Teams, or Google meeting. This will be a clickable link in the event details.

Location Details:

  • If the event is at a physical location, enter the details here. Adjust the country first, then the state/province if necessary. The address will link to Google Maps in the event view.

Visibility:

  • To make the event public, enabling non-logged in users to see it (common for performances and open rehearsals), check the Show this event to the public box.

Invitations:

  • Click Add Invitation to send attendance invites, necessary for members to see the event on their calendar.

Volunteer Jobs:

  • Add volunteer positions by clicking Add Volunteer Jobs.

Time Slots:

  • If the event requires sign-ups for specific times, check the Enable Time Slots box to configure these settings.

Important Notes:

  • Adjust incorrect default country settings under General Settings in the Admin Settings & Tools.

Saving and Repeating Details:

  • Ensure all details are correct and click Save to secure the event in your system.
  • For repeating events, after setting the initial times, use the Set Repeat option to define the frequency. Events can be edited or deleted individually if changes are necessary.

Remember, always save your configurations before exiting the event page to ensure all information is properly stored.
