Custom Account Sets

Overview

Custom Account Sets allow Admins to define groups of people based on shared criteria, such as roles, subgroups, labels, and voice parts.
These sets are used to assign content—such as events, music, or mailing lists—to specific groups of users.

Custom Account Sets are rule-based. People are included automatically based on the information on their profiles.


Who This Applies To

  • Admins: can create, edit, and delete Custom Account Sets

  • Managers and Coordinators: can use Custom Account Sets when assigning content

Custom Account Sets are available on all license levels:

  • Conductor

  • Team

  • Executive


What Custom Account Sets Are

Custom Account Sets are saved combinations of existing account criteria, including:

  • Roles

  • Subgroups

  • Labels

  • Voice parts

They use logical rules to determine who is included in the set.

People are included in a Custom Account Set when their profile meets the required criteria.

What Custom Account Sets Are Not

  • Custom Account Sets do not appear on individual member profiles

  • You cannot manually add a person to a Custom Account Set

  • Custom Account Sets do not change profile data

  • There is no NOT logic available

Logic Options

When creating a Custom Account Set, you choose how criteria are evaluated:

  • AND logic: a person must meet all selected criteria

  • OR logic: a person must meet at least one selected criterion

Custom Account Sets can also be built using other Custom Account Sets, allowing you to create more complex groupings.

Limitation:
There is no NOT logic. If you need both AND and OR logic together, create multiple Custom Account Sets and then combine them into a new Custom Account Set.


Where to Find Custom Account Sets

Go to:

Admin Settings & Tools → Custom Account Sets

From this page, you can:

  • View all Custom Account Sets

  • See the number of people included in each set

  • Edit existing Custom Account Sets

  • Delete Custom Account Sets

  • Add new Custom Account Sets

Clicking the title of a Custom Account Set shows a list of the people currently included.


Adding a New Custom Account Set

Steps

  1. Go to Admin Settings & Tools → Custom Account Sets

  2. Click Add New Custom Account Set

  3. Enter a label

    • Custom Account Sets appear under their own category

    • They do not appear under “Labels”

  4. (Optional) Enter a description

    • This is for internal use only

  5. Choose whether the set is Active or Disabled

  6. Select the logic type (AND or OR)

  7. Choose the applicable account sets, roles, subgroups, labels, or voice parts

  8. Click Save and Rebuild

Saving and rebuilding updates profiles and recalculates the list of included people.

For large sets (500+ people), this process may take some time.


Editing or Deleting a Custom Account Set

From the Custom Account Sets page, Admins can:

  • Edit an existing Custom Account Set

  • Delete an existing Custom Account Set

Changes take effect when the set is saved and rebuilt.


How Custom Account Sets Are Used

Custom Account Sets are used for assigning content, such as:

  • Events

  • Music

  • Mailing lists

They are particularly useful when you want to assign content to people who meet multiple criteria.

Example Use Case

You can create a Custom Account Set that includes:

  • A specific subgroup AND

  • A specific voice part

Only users who meet both criteria will be included.


Important Notes and Limitations

  • People are included automatically based on their profile data

  • You cannot directly add or remove individuals from a Custom Account Set

  • There is no NOT logic

  • Custom Account Sets are not visible on member profiles

  • You can always review who is included by clicking the set name

Reminder: Reviewing Who Is Included

To see who is in a Custom Account Set:

  1. Go to Admin Settings & Tools → Custom Account Sets

  2. Click the Custom Account Set title

A list of included people will be displayed.
