Schedule your rehearsal activities and performance program with ease!

Overview

Program Templates make it easy to plan your rehearsals and performances with structure and consistency. Whether you’re building a detailed rehearsal plan or laying out a performance program, you can create and reuse templates, copy existing programs, and customize activity lists for easy setup.

Each program includes:

  • Activity lists with time tracking and assigned participants

  • Linked music selections from your Music Library

  • Quick-add activities for frequent tasks (like warm-ups or sectionals)

  • Template options for reusing common event formats


Creating a Program on an Event

You can create a program directly within an event:

  1. Go to your Event and select the Program tab.

  2. Choose how to start - These buttons appear lower down on the page

    • Add a row to start from scratch.

    • Quick add activities from your saved activity list (customizable — see Customizing Activities).
    • Copy an whole program to reuse and edit a previous program or saved template

  3. For each activity, you can enter:

    • Activity name

    • Description (click the speech-bubble icon next to the activity name)

    • Duration

      • duration can be formatted as "15" for 15 minutes, or "3:40" for 3 minutes, 40 seconds, or "1:20:00" for 1 hour, 20 minutes.
      • This will automatically adjust the start time of all the activities for the program
    • Assigned person

    • Linked song from your Music Library

  4. Save any new activity for future use by clicking the Save button on the right (click the three dots to see your options)

  5. Rearrange activities using the cross-arrows on the left

  6. Delete un-needed rows using the delete button on the right (click the three dots to see your options)

  7. Click Save Program at the bottom to save your event program.

Once saved, your program will appear on the event’s main view.

Note: Programs will be viewable in the Choir Genius app in a future update.

Want to start fresh when creating a program? Click the "Clear program" button at the bottom while in edit mode. This will remove all activities in the program with one button click.
Easily make any program for an event a Template by using the "Make Template" button on the top right.


Creating a Program Template

If your group’s events often follow a standard structure (like a “Weekly Rehearsal” or “Performance Night”), save time by creating a Program Template.

To create a new template:

  1. Navigate to Events > Program Templates.

  2. Click Create Template.

  3. Enter a Template name and description (for example, “Standard Rehearsal” or “Performance”).

  4. Add activities, using the same tools as when creating a program on an event.

  5. Click Save Template when finished.

You can view and edit all templates anytime on the Program Templates page.


Customizing Categories

Categories help you organize and group your saved activities (e.g., “Warm-up,” “Rehearsal,” “Performance”).

To manage categories:

  1. Go to Events > Program Templates.

  2. Click the Manage Categories button at the bottom of the page.

  3. Add, edit, or delete category terms as needed, then Save your changes.

⚠️ Important: Deleting a category will also delete all activities assigned to that category.


Customizing Activities

You can save and manage frequently used activities for quicker program creation.

To save an activity:

  • Within an event program, click the Save button beside the activity line to add it to your Quick List.

To create or edit saved activities manually:

  1. Go to Events > Program Templates.

  2. Click Create Quick-Add Item to make a new one from scratch (this is lower down on the page, near the bottom).

  3. To edit existing activities, use the list view on the same page.

  • - Choose a category form the list. Remember, you can edit this if you need to.
    - Enter an activity title
    - Optionally, add a description.
    - Choose your duration
    - Enter who is assigned this task (if it is typically the same person)
  • Reminder: you can edit all of these items to something specific once it is in a program. Only the category stays the same because that is the part of listing the activity in the quick-add list, and not part of the program listing.
