What to do if you have members that use the same email address

Handling spouses with the same email address

Every user account requires a unique email address. For spouses/partners that use the same email address, it is always recommended to suggest that a secondary email address be created from a free provider, such as gmail. That address can always be set up to forward to their shared address.

For situations where that won't work, consider the following option:

Some email clients allow you to create alternate email addresses that look different, but will still go to your regular inbox.

Gmail (for example) will let you use various email addresses using the + symbol

Original email: person@gmail.com
You can create an account for their partner using the address: person+spouse@gmail.com
and all emails will still go to: person@gmail.com

The benefits of this option are that you, as an Admin, can set his up without any work on the member's part since gmail will automatically recognize and receive any alias configured this way. This is not true for other email clients, however.

There are also more method for using multiple versions of an email address listed on this site.
Yahoo has a similar process but it requires more set-up.


Handling children with no email address

Every user account requires a unique email address. For parents and children, this can be problematic if the child doesn't have their own email address.

When dealing with children's choirs, it is recommended to use the features available in the Executive License level for handing parent and child accounts.

To enable this feature, go to: 
Admin Settings & Tools > Account Settings
Then checkmark the option called "Allow accounts for children, and track family relationships"

On the Parent's account:

  • Ensure they have the parent role assigned
  • Ensure they have a valid primary email address listed
  • Ensure their child's account is listed as their child in the "Family" section of their profile. 

On the Child's account:

  • Leave the primary email address blank
  • Ensure the email settings for the child's account are set to "send only to all parents"
  • Ensure any and all parent accounts are listed as "parent/guardian" in the "Family" section of their profile.

Note: If the child has an email address, but the parents also want to receive all emails sent to the child, their email settings should be set to "send to primary email address and all parents"
